This Refund & Cancellation Policy applies to services purchased from Grazing Minds Lite, a service offering of Grazing Minds Research and Consulting LLP (“we”, “us” or “our”). It should be read with the relevant proposal, statement of work and Terms of Service. A specific written agreement may set different cancellation terms for an engagement.
1. Before work begins
If you cancel a one-time engagement in writing before the scheduled kickoff and before substantive work has begun, we will refund amounts received, less non-recoverable payment processing charges and any third-party costs you expressly approved and that cannot be recovered. We will itemise any deduction on request.
2. After work has begun
Once substantive work has started, fees attributable to work performed, time committed, completed milestones and approved non-cancellable expenses are not refundable. If the engagement is cancelled, we will calculate the value of completed work and committed costs and refund any remaining advance for work not performed, where applicable. We will explain the calculation.
3. Milestone-based assignments
Where a proposal divides work into milestones, completed or commenced milestones will be charged according to the proposal. Work on a later milestone will not begin until the required approval or payment is received. A deliverable is not refundable merely because the client changes their mind after it has been delivered in accordance with the agreed scope.
4. Monthly retainers
Monthly advisory retainers are billed in advance. Unless the written agreement says otherwise, a client may request cancellation of the next service month by giving at least 15 calendar days' written notice before that month begins. Fees for a service month already started are not refundable except where required by law or where we agree otherwise in writing. Work already scheduled, performed or committed during the current period remains payable.
5. Rescheduling
For a scheduled consultation or workshop, please request a reschedule at least two business days in advance. We will make reasonable efforts to offer an alternative date. Requests made later may be treated as a cancellation if preparation or capacity has already been committed. Any specific rescheduling terms in a proposal will apply first.
6. Delays caused by client inputs
If delivery is delayed because required information, access, approvals or feedback is not provided, we will communicate the effect on timing. Extended inactivity may require rescheduling based on availability. If the client wishes to terminate, the rules for work completed and unperformed work in this policy will apply.
7. Work that is not refundable
Subject to rights that cannot lawfully be excluded, the following are not refundable once supplied or incurred: completed consulting time, research or analysis already performed, delivered documents or creative work, approved third-party purchases, non-cancellable expenses and fees for completed milestones. This does not affect any statutory consumer or other rights that apply to a particular transaction.
8. How to request a refund or cancellation
Submit your request through the website contact form and select “Refund or cancellation”. Include the business or project name, invoice or proposal reference if available, the service involved, the reason for the request and the preferred outcome. We may ask for reasonable verification before processing the request.
9. Processing
We aim to acknowledge requests within three business days and provide a decision or a request for further information within seven business days. Approved refunds will normally be initiated within 10 business days, using the original payment method where feasible. The time taken by banks or payment providers to credit the funds is outside our control.
10. Service issues
If you believe a deliverable does not meet the written scope, tell us promptly and describe the specific gap. We will review the issue against the agreed deliverables and, where appropriate, correct a material omission within the agreed revision process. A disagreement with professional judgement or a change in preference does not automatically mean that the service was not delivered.
11. Contact and applicable law
This policy is governed by the laws of India, subject to mandatory legal rights. Use the website contact form for refund, billing or cancellation questions. Nothing in this policy limits rights that cannot lawfully be waived.
